Media Upload Policy
How we handle the photos and videos you upload with your quote — what we use them for, who can see them, how long we keep them, and what we will never do with them.

1. Why we ask for media
Uploading a few photos or short clips of your items, rooms, parking and stairs gives us a far more accurate quote and avoids surprises on the day. Uploads are optional.
2. What you confirm by uploading
- You own the media you upload, or have permission from the owner to share it for the purpose of obtaining a quote.
- The media does not depict identifiable third parties without their consent.
- The media is not unlawful, infringing, defamatory or otherwise harmful.
3. Technical limits
- Allowed formats: JPEG, PNG, WEBP, HEIC, HEIF, GIF; MP4, MOV, WEBM, M4V.
- Maximum file size: 50 MB.
- Maximum 20 files per quote request.
4. Security & access
- Uploads are stored in a private cloud storage bucket — never publicly browsable.
- Each upload is granted via a short-lived signed URL issued from our server; tokens cannot be guessed or enumerated.
- Upload size and content-type are validated server-side before a token is issued; size-by-IP and per-session rate limits apply.
- Only the operations team and the partner assigned to your quote can access the media — strictly to deliver your quote and service.
- We log every issued signed URL and every retrieval in our internal audit log.
5. Retention
Uploaded media is automatically deleted from storage 30 days after upload. See the Data Retention Policy for the full schedule. You may also request earlier deletion at info@dimondmovers.uk.
6. Permitted use
- To prepare and revise your quote;
- To brief the crew assigned to your move;
- To resolve any subsequent claim or dispute (e.g. proof of pre-existing condition).
7. What we won't do
- We do not use your media for marketing without your separate, written permission.
- We do not sell, license or transfer your media to any third party outside the assigned partner.
- We do not use your media to train AI models.
